I have a confession to make...
For the longest time, I've been the LAST person to embrace new tech.
Ask Stephen…
He's the one downloading all the latest apps while I'm still comfortable with my tried-and-true (ahem, sometimes outdated) systems.
Case in point…
We recently recorded a podcast about AI tools, and as we were prepping, Stephen casually mentioned how he'd used ChatGPT to plan an entire retreat for some friends.
"Wait, what?" I asked. "You didn't spend hours on Google researching restaurants and activities?"
He just smiled and said, "Nope. I asked ChatGPT to create a complete guide with the best restaurants, their phone numbers, hours, and driving distances from our Airbnb. It took about 3 minutes."
I was genuinely surprised.
The exact same task would have taken me HOURS of opening multiple browser tabs, reading reviews, checking maps, and making notes in a document.
And that's when I realized:
My resistance to new tech wasn't saving me time or making me more authentic…
It was actually stealing precious hours I could be spending with my family or growing our business.
So I decided it was time to get over my tech hesitation and see what all the AI buzz was about.
And wow... I wish I'd done this sooner!
Why I Was Hesitant (And Maybe You Are Too)
Before I share the tools that have improved our workflow, let me acknowledge something:
If you're feeling resistant to AI, you're not alone.
Maybe you're thinking:
"It's going to be complicated to learn"
"It probably won't understand what I need"
"I don't have time to figure out another tech tool"
"What if it creates something that doesn't sound like me?"
I had ALL of these thoughts.
But here's what I've discovered…
Modern AI tools are actually designed for people like us, busy entrepreneurs who don't have time to read a 50-page manual before getting results.
5 AI Tools That Are Saving Our Sanity
After testing dozens of options (okay, Stephen tested them and then showed me the winners), here are the five AI tools that have made the biggest difference in our business and life:
1. ChatGPT: Your New Google (But Better)
This is the gateway AI tool that everyone's talking about, and for good reason.
It's free, incredibly versatile, and shockingly easy to use.
How we use it: I've literally replaced Google with ChatGPT on my phone. Instead of scrolling through search results, I get direct, customized answers.
Some ways we've used it this month:
Creating bedtime stories for our boys (with specific characters they request and values we want to teach)
Planning our content calendar (it generated 3 months of topic ideas in minutes)
Summarizing survey responses from hundreds of our community members to identify key themes
Creating Excel formulas (which I'm terrible at figuring out on my own)
Time saved: Approximately 5-7 hours per week just on research and brainstorming tasks
Pro tip: The magic of ChatGPT isn't just what you ask, but HOW you ask.
If you don't love the first response, refine your request: "Can you make that shorter?" or "Can you add more examples?" or "Can you make this sound more conversational?"
If you create social media content, this app is a game-changer.
It started as a simple captioning tool, but now has AI features that will make your content creation so much faster.
How we use it: Beyond just adding captions to videos (which it does beautifully), we're using it to test different ad concepts without spending hours filming.
Time saved: About 3 hours per batch of social content
Pro tip: While Stephen is more comfortable with the AI video generation features, I'm sticking with the captioning and editing tools for now – and that's perfectly fine!

3. HeyGen: When You Need to Be in Multiple Places at Once
This tool is particularly useful.
HeyGen allows you to create videos of yourself talking without actually filming yourself every time.
How we use it: We're exploring this for updating course content and creating personalized welcome videos without having to do hair and makeup for every single recording.
Time saved: Potentially 10+ hours per month on filming and production
Pro tip: The quality of your initial video determines the quality of what HeyGen can create.
If possible, use good lighting and a decent camera (the back camera on your iPhone is better than the front).
4. Delphi: Your Knowledge Base Come to Life
Imagine if people could ask you questions and get answers in your voice, even when you're not available.
That's what Delphi does.
How we use it: We're just starting with this one, but the potential for customer support and scaling personal touchpoints is huge.
Time saved: Too early to tell, but the potential is enormous for reducing repetitive Q&A
Pro tip: This is more advanced, so don't start here if you're new to AI.
Master ChatGPT first!
5. Chatbase: Your 24/7 Customer Support Team
If you've ever wished you could clone yourself to answer customer questions, this might be your solution.
How we use it: We've created specialized AI assistants in our Rainmaker app that help our community with specific tasks like writing Instagram bios or brainstorming product ideas.
Time saved: Hours of repetitive customer support while maintaining personalized help
Pro tip: Start small – maybe with your most frequently asked questions – and build from there.
How to Get Started (Even If You're Skeptical)
If all of this sounds overwhelming, take a deep breath.
You don't need to implement everything at once.
In fact, I'd recommend starting with just ONE tool: ChatGPT.
Here's a super simple way to begin:
Go to chat.openai.com or download the ChatGPT app on your phone
Ask it something you'd normally Google, like:
"I need a dinner recipe using chicken, broccoli, and rice that's kid-friendly"
"Give me 10 caption ideas for a photo of my product"
"Help me write an email declining a networking opportunity in a kind way"
If you like the response, save it. If not, ask it to try again with specific changes.
Track how much time it saved you compared to your usual process
The key is to start simple and use it for things you already do, just more efficiently.
Think of AI as your personal assistant, not something that replaces your unique value.
The Real Reason to Embrace AI Tools
Here's the truth: The reason I finally got on board with AI isn't just about efficiency.
It's about what that efficiency creates space for.
Every minute I save not doing mundane tasks is a minute I can spend:
Being present with my boys rather than half-listening while thinking about work
Having real conversations with Stephen instead of both of us being buried in our laptops at night
Taking care of my health and well-being rather than burning out
Focusing on the creative and strategic parts of our business that only I can do
After all, isn't that the whole point of building a business that supports your family?
To create more freedom, not just to do more work?
Your Action Steps This Week:
Download the ChatGPT app on your phone and try using it instead of Google for at least 3 searches.
Ask it to help with ONE task you typically find time-consuming (writing social media captions, drafting emails, brainstorming content ideas).
Notice how much time you saved and what you did with those extra minutes.
